Designing a deal management tool to improve productivity

OwnSpace is a platform designed to streamline the property-selling process for real estate developers.  I joined this company early and have been instrumental in building the product from the ground up. 

Through interviews with users and industry experts, we discovered that developers often faced delays and made mistakes when closing deals, due to using multiple, disconnected tools. To address these issues, I designed a deal management tool that allows real estate developers to efficiently track and manage their deals from the initial purchase offer to the final closure.

Real estate developers use multiple, disconnected tools to manage property transactions. These disjointed systems result in significant delays in processing offers and frequent inaccuracies in deal records, affecting the overall productivity of their operations.

Research analysis

User interviews uncover inefficient processes

User interviews I run with real estate teams revealed that they use a variety of tools to handle transactions—email and phone calls for communication, CRM systems for tracking buyer information, and Excel sheets for financials and inventory. This fragmented approach often leads to overlooked tasks, expired deals, and inaccuracies due to inconsistent data across platforms.

Mapping the stages of a deal from offer to closure

User interviews clarified the stages of a deal's progression, from a purchase offer to a firm deal, and how these correlate with our existing property inventory statuses. Mapping the deal's journey enabled me to pinpoint critical timelines and the specific actions required from different team members at each stage to efficiently close a deal.

Design EXPLORATIONS

Structuring a deal per stage

A real estate purchase offer is very dense with all sorts of information. An early exploration was to map out the different pieces of information and their relationships. Our user research showed that different users required to complete different actions during different stages of a deal so at first I decided to structure a deal based on a deal’s stages providing users with the specific information they needed at each stage.

Re-structuring a deal per items

Further user testing revealed structuring data by stages introduced too much complexity and made finding necessary details difficult. Even though a deal goes through different stages, real estate teams needed constant access to all deal information. As a result, we restructured deals by item to ensure all information was always visible to real estate teams.

sOLUTION

Enhancing team productivity with efficient deal access

The design solution addresses the need for various team members in a real estate development office to access deals at different stages efficiently. This table view provides a clear overview, allowing team members to quickly identify and act on the deals they are responsible for, streamlining the process and enhancing productivity.

Centralizing deal data to prevent information loss

Previously, real estate developers struggled with multiple apps or archives to track deals, buyers, and properties, often leading to lost or outdated information. Our design centralizes all pertinent details on a single screen, enhancing efficiency and reducing errors by ensuring easy access and management for the entire team.

Streamlining workflows with actionable items panel

Actions required at different stages of a deal are prominently displayed, allowing team members to quickly address necessary tasks right from the main screen without navigating deeper into the workflow. This approach not only speeds up the processing time but also enhances overall efficiency in managing deals.

Impact

Reduce time to close a deal 

Previously, a team member might spend days or even weeks gathering necessary information from various apps or communicating back and forth with the buyer. Now, all required details are readily accessible, allowing reviews to be completed within hours.
